  • Reviews: For customers using Portfolio Integration, the employee record now displays an employee’s Preferred Name instead of their legal (given) first name.  This also displays in the online review for new reviews created after the Preferred Name has been included. Note that historical reviews will still contain the employee’s given name..

  • Job Codes: Job Codes will no longer be required to be input into PerformSmart. There’s a new option in the Job Codes list titled “Not Assigned” for our customers that don’t want to use job codes in the application. This new entry defaults for all employees unless a specific job code is chosen during the employee add process. This not only simplifies the application, but also the implementation process. Note this new option displays in the Employee page and in the Performance Groups pages. The Employee Detail Report will display an entry of ‘None’ in the Job Code column when an employee has an entry of Not Assigned.
  • Sign On: We updated the sign on process to no longer display TRUSTe logos or seals.

  • Goals: To help employees stay aware of when a goal is nearing its due date, we’ve added Home Page notifications and emails when a goal is 30 days from the due date.  Clicking the link in the notification will take the user directly into the goal so they can verify details, make notes about the goal, or update the progress indicator.

  • Goals: To help you and your managers track progress, we’ve added two new features to the Goals pages.  The first is a new employee comments box that can be used for periodic notes about progress and obstacles.  The second is a new Progress indicator, where you can estimate the percentage complete of the goal.

    Recognizing that some goals are more complex and structured, we also updated the Goals page to utilize a new text editor in the description, measurement, and comments boxes.  The text editor allows users to take advantage of formatting options like bold or italics fonts, numbered lists, bullets, and colored text.  These options are available in the Goals pages and will carry through to the online review.

Release 4- June 11, 2020

  • Goals/Reviews: Finding your active goals and performance review quickly is important. We tagged your active goals in multiple locations to make them more discoverable. Look for the green pills next to your active goals that say “Active”. We also changed the default sort for the Manage Goals page to be the Modified date (the most recently changed goal is at the top); and the default sort for the Review List page to be descending by End Date, and then by Employee Name.

  • Job Codes: Job Titles have been decoupled from Job Codes to reduce administrative burden for Power Users. Job Codes will look the same when both components are combined.

  • Position Title was removed from the application. Position Title was renamed to Job Title in the employee’s record. All of your Review Templates that included the Position Title in the header have been automatically updated to include Job Title. This does not affect reviews that are in progress.
  • Tip: Small clients that have a small number of Review Templates may not find value in using Job Codes and Performance Groups. These clients can assign the same generic Job Code to all employees and manually assign Review Templates in the employee’s record to reduce administrative burden.
  • Employee Data Integration: All Workforce Optimization clients that have integration enabled will automatically see updates to the employee’s Job Title shortly after changes are made within Insperity Premier. Power users will no longer have to access the Performance Management module to manually update Job Titles.
  • Employee Record: Improved the usability for determining the source of the employee’s Review Template assignment (Manually Assigned, Performance Group, Default Template). The application will also notify you if you don’t have a default review template selected. 
  • Peer Notes: Supervisors can send a Kudos to their direct reports!

  • Reports: Enhanced the Review Rating Detail Report to improve usability and to add a tabular option (MS Excel) to help users with sorting.
  •  On Demand Reviews: Supervisors can rate the employee’s job duties, performance competencies, and goals using 1/2 star rating increments for added flexibility and accuracy. Power users can enable 1/2 stars for on demand reviews in the Administration -> Settings section.
  •  Export Review to PDF: We updated the file name and extension (.pdf) to make this more user friendly.

  • Managing Employees: The Alt. Employee ID field in the employee record was hidden for Workforce Optimization clients. This field doesn’t provide any function to power users. We also recommend that power users not populate the Alt. Employee ID field in the employee data file.

  • Application Timeout: Users accessing the application directly from the PerformSmart sign in page will see clear, visual feedback when the application has timed out.

  • Employee Self-Review and Appraiser Review: Employees and supervisors can rate job duties, performance competencies, and goals using 1/2 star rating increments for added flexibility and accuracy. Power users (administrators) have the option to select 1/2 star rating increments when they create their cycle-based review.
  • Help: Enhanced the help content for Workforce Optimization clients. Users will access Quick Guides (step-by-step instructions for common tasks) for administrators, supervisors, and employees directly within Insperity Premier HCM. Click Help in the left menu.

  • Performance Competencies: Power users now have the ability to exclude one or more factors in a standard competency for added flexibility. A significant benefit here is that supervisors will still retain the smart text capability for the remaining factors in that standard competency! Smart text is incredibly helpful when supervisors are completing the performance appraisal for their team member(s). Smart text automatically populates the appraiser comments based on the ratings assigned for each factor in a standard competency.
  • Online Review: Added an optional post-review feedback acknowledgement. Employees will acknowledge that they reviewed the performance appraisal, and were provided an opportunity to submit their post-review feedback. Power users can enable this acknowledgment in the Administration -> Settings section.

  • Cycle-Based Reviews: Restyled the custom and anniversary review pages to improve usability for power users.  The most exciting functional change is the inclusion of the pre-review audit when adding or editing a review. The pre-review audit report shows errors that will prevent the employee’s review from getting created. Powers users no longer have to navigate out of the cycle-based review workflow to run the report.  Power users can navigate to Administration -> Cycle-Based Reviews and click the New Review button to see the new user interface.

  • Cycle-Based Reviews: Managing Cycle-Based Reviews (anniversary & custom) just got easier for power users. We combined the Review Period and Review Cycle list pages into a single page called Cycle-Based Reviews. The Cycle-Based Reviews page is located in the Administration section. We also updated the user interface to improve usability and performance. We hope you like it!
  • Notes: Combined the performance and peer notes buttons into a single NEW NOTES button to improve usability.
  • On Demand Reviews: Updated the user messaging when closing a review to ensure that users understand that the review will be visible to their team member and the review cannot be reopened for editing.
  • Notifications: Added a notification to the home page when Insperity’s Business Performance Solutions Privacy Policy is updated.

  • Peer Notes: Added email notifications. Employees and/or managers will receive email notifications after a peer note was submitted based on the sharing option selected. Power users can enable/disable email notifications by navigating to Administration -> Settings in the left navigation menu.

  • Goals: Added the ability for a manager to copy one of their goals and assign it to a direct report. This saves the manager time when they want to assign the same/similar goal to their team members.

  • Managing Users and Roles: The Roles page has been removed. Power Users will navigate to Subscription -> Manage Users to manage the HR Manager role and company assignments. This simplifies the application for Power Users.
  • On Demand Reviews: Added the ability to filter On Demand reviews by review type. This makes the Review list much easier to read.
  • On Demand Reviews: Added help directly on the review submission form to help users understand the relationship between the start date and end date with respect to the employee’s current goals.
  • Employee Detail Report: Enhanced this report to match the Employee Data Import File format. Power Users can run the Employee Detail Report, modify their employee data, and import the same file back into the application without making any format changes.
  • Performance Groups: Enhancement to hide inactive job codes in the Selected Jobs list to make this list easier to read.
  • Peer Notes: Increased the number of characters from 400 to 4000. This change allows additional text which is helpful when submitting feedback to support 360° reviews.

  • Peer Notes: We updated the submission form and view only form when reading peer notes to improve usability and give the forms a more colorful and social look and feel.
  • Adding/updating job codes: We combined both functions into one file template to make this easier to maintain. This also simplifies the user interface for power users. The previous templates are still supported. Power users can download the new template in Administration -> Data Import.
  • Reports: The Review Rating History and Review Rating Detail reports have been updated to include the powers user’s review information only when the power user’s review is in the closed state.

  • Review Templates: Power users now have the ability to preview new review templates before saving! The preview is interactive so navigate around the sections to experience the look and feel. Look for the Preview Template button in the Tool Box, or in the lower right-hand corner of the Weightings page when you finish the template.
  • Goals: We made the employee name field available when filtering goals assigned to multiple employees. This makes it easier for managers to see all the goals assigned to a single employee. Once the employee is selected, simply toggle between goals assigned to a single employee and multiple employees.
  • Managing Users: Power users will see that the License Type checkboxes have been removed from Add User, Manage Users, and Search and Add Users pages. The application will handle this function automatically behind the scenes to make your life simpler.
  • Review: Added a Saved notification and timestamp (Example: Saved 10 minutes ago) to the online review pages. Users will also get better feedback while the application is auto-saving their changes in real-time.
  • Peer Notes: Unread Peer Notes are shown in bold font. Home page notifications are automatically removed after the Peer Note was read.
  • Reporting: Enhanced the format options for the Review Rating Detail Report. This report can be exported to PDF, Excel, and other formats.

  • Goals: Managers can edit a goal assigned to multiple employees and the changes will be applied to all employees.  Additional employees can also be added to the existing group of employees that share the same goal.  This is a significant time savings when updating team, department, and company goals.
  • Reviews: Appraisers now have the ability to hide/unhide the employee’s rating in the review list when the appraiser has completed their appraisal.  Appraisers can quickly see the employee’s rating for multiple review periods without opening each individual review.
  • Performance Notes: Enhanced the usability for privacy options. When appraisers add/edit a performance note for their team members the Private checkbox has been replaced with two selections for sharing: Only Me and Employee + Me. A Shared With column shows the selection when viewing a list of notes.
  • Goals: Restyled the Goals list page to match Insperity Premier™ HCM.

  • Performance Review List:  We improved the usability of the review list by modifying the “All Active Reviews” selection within the “Review Status” filter to return completed reviews.  Going forward, the only reviews that will not be returned with the “All Active Reviews” filter are those in a closed status.
  • Employees:  We enhanced the Employee function to allow for the future termination of an employee.  Simply enter a termination date in the employee record and leave the status in the current state (either active or inactive).  The status of the employee will automatically update to “terminated” during nightly processing on the appropriate day.
  • Our new PerformSmart Reset Password page provides a fresh new look and a better user experience for users, featuring new colors, bolder fonts, and an improved layout.
