In this tutorial, you will learn how to create the chart below. To create this chart you will define an additional field (beyond name and title), and use box and chart formatting options.
Opening Existing Charts
Begin by opening an existing unformatted chart.
1. Click the File tab and select Open. The Open dialog box opens.
2. Select the file Tutorial2.opx and then click Open.
Note: If the My Charts directory is not shown, click on the My Documents icon on the left side of the dialog box, and double-click the My Charts folder.
Formatting Boxes
You can format any box in a chart.
3. Click the Select tool .
4. Click the Format tab, and click to select the box for Chris Phillips.
5. In the Box Properties section, click Shape to expand the Shape picker, and select Round Rectangle.
6. Click Fill Color to expand the Fill Color picker, and select Light Orange.
7. Click Border to expand the Border style picker, and select Single Line.
8. Select the executive team by double-clicking on any of the Level 2 boxes.
9. Set the box shape and border style for the executive team as described above.
10. Click Fill Color to expand the Fill Color picker, and select Light Blue.
11. Now, try to set the format for Corinne Spear to match the example below
Adding Fields
You can add additional fields to your charts at any time. In this exercise you will add an Org Unit field.
12. Click the Home tab, and select Define Fields.
The Define Fields dialog box opens.
13. Click the Add button and type Org Unit.
14. Click OK.
15. When prompted to add the new field to all boxes, click No. You want to display the new field only in the boxes representing the executive team
Displaying Fields
In order to show the Org Unit field in the executive team’s boxes, you will use the Layout tab in the Box Properties dialog box.
16. Click the Select tool .
17. Select the executive team by double-clicking on any of the Level 2 boxes.
18. Click the Format tab, and select Layout from the Box Properties section.
The Box Properties dialog box opens.
19. Drag the Org Unit field from the field list to just below the Title field. Wait until you see the symbol, as illustrated below, before releasing the mouse button.
Note: If you want to remove a field from a box, drag the field out of the box (shown in the Layout tab) and back into the field list.
20. Select the Line tool .
21. Position the cursor between the Title and Org Unit rows. When the cursor changes to a symbol, as illustrated below, click to place the line.
22. Click OK. The line and empty Org Unit field are added to the selected boxes.
23. Double-click to highlight the Org Unit field in Lynn Brewer’s box, and type Finance. Repeat this step to update the remaining executive team boxes with the Org Units shown below:
24. Using what you have learned in this tutorial, update all of the remaining boxes with the following characteristics:
- Shape: Round Rectangle
- Fill Color: Teal
- Border: Single Line
Adding Chart Titles
Each chart contains a Title area.
25. Highlight the chart title at the top of the page, Tutorial 2.
26. Click the Home tab and use the options in the Font section to select the following settings:
- Font: Arial
- Font Size: 12pt
- Alignment: Center Text
- Font Color: Black
Making Changes to the Entire Chart
You may want to apply some changes to the entire chart (font style or box shape, for example). In this section, you will apply the same font style to every box in the chart.
27. Select all the boxes in the chart by clicking Ctrl-A.
28. Click the Home tab, and use the font toolbar to select the following settings:
- Font: Arial
- Font Style: Bold
- Font Size: 12pt
- Alignment: Center Text
- Font Color: White
Printing Charts
You must have a configured local or network printer in order to perform this step.
29. Click the File tab and select Print. The Print options dialog opens.
30. Click OK to print.
