Updating organizational charts in PowerPoint was a labor intensive, three week process for one of North America's leading Insurance companies. Without automation or sub-charting capabilities, the HR Manager was.

The result was a sub-standard representation of the organization that was rarely up to date and contained little more than name and title for each employee.

The executive team wanted to publish a view of the organization to the company intranet that would enable employees to easily search through the organizational charts to find contact information as well as employee pictures to better communicate everyone's role within the organization.

After researching the options, the company selected OrgPlus. No other product came close in capabilities for automating chart creation, publishing to the company intranet or presenting a dynamic picture of the organization. What used to take the HR Manager three weeks to deliver can now be accomplished with the click of a button.

The Challenge
With recent business acquisitions, the company experienced considerable employee growth, effectively doubling in size in the last few years. At nearly 1,000 employees, it was important for the company to visually present its organizational structure in a way that helped communicate to employees their position within the organization.

Previously, the HR Director was updating organizational charts on a quarterly basis in PowerPoint. They wanted to update charts more frequently, but updating was a three-week process that required the HR Director to print out all the reports in Excel and then manually go line by line to update the PPT slides.

To forward the company, the organizational charting solution chosen had to provide information like department, direct supervisor, phone number, and individual photo. It also had to be easy to update and accessible anytime through the company intranet.

The Solution
The company began a comprehensive evaluation to find a solution that would replace PowerPoint. PowerPoint had no capabilities for creating sub-charts, including photos, or for including additional employee information that could be contained in a profile view. These were critical, missing pieces that the growing organization needed to meet their communication goals. They initially turned to Visio, but soon learned that it didn't have the functionality to create employee photos, nor could it adequately import data to produce the type of charts they needed. Next, they considered Microsoft Access because it had some add photo capabilities, but they quickly found that the application was too cumbersome to use.

Ultimately they wanted a product that would automatically create the organizational charts. They worked with an analyst and had him compare OrgPlus to Visio during the evaluation. OrgPlus ultimately won out because of the photo management capability, company references and because it had the automation they required.

After a thorough evaluation, they chose OrgPlus Professional. The impact of being able to automatically import and update organizational data was felt immediately. They recently published their organizational chart in HTML to their company intranet. The newly published organizational chart is also replacing their required phone directory, which had to be updated manually in past. Not only did they experience a tremendous time savings by automating the process for creating and updating their organizational charts, but they also could now count on the accuracy and timeliness of the data.
